The Senior Executive Assistant is responsible for:

  • Provides administrative support to the Chief Human Resource Officer and General Counsel. 
  • Plans, organizes, schedules and coordinates logistics for meetings and events
  • Arranges travel, accommodation, itineraries, and related activities and documentation
  • Prepares and maintains receipts and submits related expense reports
  • Assembles and distributes mailings, newsletters, meeting notifications, correspondence, and agenda materials
  • Develops presentation materials and process documentation.
  • Maintains confidential documents and corporate records. Prepares correspondence, memos, forms, presentations materials, rosters, agendas, summary reports and other documents using a variety of computer software applications. Proofreads and edits final draft materials for accuracy, consistency and clarity.
  • Assist general counsel in reviewing, proofreading and revising organization policies, and processes and tracks legal spend and contract management program.
  • Organizes and maintains paper and electronic files to ensure accurate and efficient storage and retrieval of documents and information. Reviews, updates and corrects data and files.
  • Assists with administrative support projects by conducting internet searches to gather information. Obtains signatures and assembles materials; coordinates printing orders, checks materials for accuracy and completeness and distributes documents to relevant parties within specified timeframes.
  • Organizes meetings with internal and external audiences. Orders food and beverages for meetings; arranges supplies and basic technology set ups; ensures space is tidied after meetings and events.
  • Performs other general administrative and clerical duties, including greeting visitors, sorting and distributing mail, faxing and copying documents, collating, etc

 

Requirements:

  • Bachelor degree in business administration, management, public relations, or related field is preferred.
  • 3-5 years administrative assistant experience, preferably with at least 2 years in a legal department setting or prior experience in a non-profit or healthcare organization.
  • High degree of professionalism, judgment, and discretion necessary to handle highly sensitive and confidential information.
  • Strong oral, written and interpersonal communication skills and ability to gather and exchange information with all levels within the organization and work with a diverse group of external and internal stakeholders
  • Strong organizational skills and attention to detail sufficient to manage multiple tasks and projects, and meet established deadlines in fast-paced, demanding environment.
  • Basic knowledge of electronic document management systems and other technologies.
  • Advanced proficiency with Microsoft Word, PowerPoint, Excel and Outlook to prepare documents and presentations, track and report data, and communicate with internal and external customers.
  • Self-motivated, focused, positive attitude, flexible, and proactive.

 

The Compensation Range for this role is between $60K - $70K annually.
